Want to Kick Up Your Meetings a Notch?

Tired of promoting meetings in the same old way? Want them to be more effective? (Trust us, if you say, “Yes!” know that your attendees feel the same way.) ROBYN loves to think creatively when it comes to planning meetings. For instance…

Have fun with the invite. Don’t settle for the traditional yawn of engraved stationary. Go bold! If you’re hosting a beach-related event, present your invite in a vinyl-pouch envelope filled with sand. For an incentive trip to Hawaii, deliver a lei with a card-stock invitation tied to the silk-flower necklace. Get the idea?

Time’s up! Send a stop watch before your next big meeting to every invited participant. Tell ‘em (nicely) to prepare their presentation to fit a specific time limit. This is a light-hearted way of emphasizing how important it is to stay on schedule.

Make your presence known. Almost every kind of event involves products that can be imprinted with your brand or message – napkins, cups, pencils, folders, etc. Even the donut box delivered for morning meetings that’s ripped open in 3 seconds can be customized with your logo and message (e.g., eat fast and then focus on what we’re discussing!).

Consider the trip itself. Provide attendees with products that they’ll find useful. For example, deliver travel itineraries in a clear vinyl pouch with lanyard, allowing the recipient to conveniently carry travel documents and identification (makes things much easier at security checkpoints at airports). Also think about small vinyl bags with appropriately-sized (tiny!) travel containers for shampoos, etc. Or, give a travel blanket and inflatable pillow with a note to arrive “well rested” for the event.

Make it memorable. G’wan…show your thoughtfulness! One popular idea is to have photos taken of event participants with a special speaker (or at some point during the event or conference). Present the pic in an engraved frame… it will serve as a longtime desktop reminder of what went on during the event.
